Reference vs Multi-Reference Fields in Webflow: When to Use Each

Use a Reference field when each item links to one item in another Collection, such as a blog post with one author. Use a Multi-reference field when an item links to several, such as a recipe with several tags. Ask one question: can this item have more than one?

Reference vs Multi-Reference Fields in Webflow: When to Use Each

Why it matters

Referenced data carries through. Webflow says that when you update a referenced item, such as an author's details, the pages that reference it update too.

The choice also shapes your design. A Reference field binds directly to elements. A Multi-reference field needs a Collection list on the page.

There are limits. Webflow says non-Enterprise plans can have up to 10 reference fields per Collection, depending on the site plan. Enterprise plans can have up to 20.

How to check it

  1. List your relationships. For each pair of Collections, ask whether it is one or many. A post has one author. A post may have several categories.
  2. Look for plain text. Open each Collection's settings and check Collection fields. Names typed as text, such as authors or categories, belong in references.
  3. Check field types. Confirm each relationship uses Reference for one and Multi-reference for many.
  4. Check your plan limit. Go to Site settings, then Plans, then All site features.
  5. Open items. Confirm each item has a value set. You set references on each item.
  6. Check list connections. A list that should show a multi-reference must connect to the field. If it connects to the referenced Collection, it pulls all items.
  7. Check nesting. Webflow allows 3 levels of nested lists, 10 nested lists per page, and up to 100 nested items per parent item. Nested lists cannot go inside components.

How to fix it in Webflow

  1. Choose the type. One linked item means Reference. Several means Multi-reference.
  2. Add a Reference field. Hover over the Collection, click the cog icon, then Add new field. Select Reference. Add a label and help text. Choose the target Collection. You can mark it required.
  3. Add a Multi-reference field. Follow the same steps and select Multi-reference. Then pick the items in each item's settings.
  4. Order multi-reference items. Drag them, or use the arrow keys and spacebar. Order changes save as a draft and go live when you publish.
  5. Show a Reference. On a Collection page or list, bind fields from the referenced Collection to elements. For example, bind an author name to a heading.
  6. Show a Multi-reference. Add a Collection list to the Collection page. Connect it to the multi-reference field, not the referenced Collection. Then style the elements inside.
  7. Filter by a reference. Select the list, open Collection list settings, then Filter. Click the plus icon and choose the Reference field. Choose Equals, then pick the current item, such as Current author. For a multi-reference, Webflow gives examples like "Tags" contains "Current Tag."
  8. Hide empty sections. For a Multi-reference, use visibility rules such as "Is set" or "Is not set." They only work inside a list connected to the field's Collection, or on that Collection's page.
  9. Replace text fields. Webflow does not let you delete a field that is in use. Add the new reference field, move every binding to it, then delete the old field.
  10. Publish and test. Open a sample item and check every page that uses the reference.

Checklist

  • Every relationship is marked as one or many.
  • Plain text fields holding names are replaced with references.
  • Each field uses the right type.
  • You are within your plan's reference field limit.
  • Every item has its reference set.
  • Multi-reference lists connect to the field.
  • Filters use the current item.
  • Empty references are hidden with conditionals.
  • Nested lists stay within Webflow's limits.
  • Old fields were deleted only after rebinding.

FAQ

Can a Reference field link more than one item?

No. Webflow says each Reference field links to one item in the target Collection. Use a Multi-reference field to link several.

Can I sort a list by a Reference field?

No. Webflow says the Reference field cannot be used for sorting.

Why does my list show every item from the other Collection?

It is probably connected to the referenced Collection instead of the multi-reference field. Webflow says that pulls all of its items. Reconnect it to the field.
